Every project has a status that indicates its current state. You can change the status at any time from the project detail page. There are no restrictions on which transitions are allowed.
Available Statuses
Idea - The initial concept stage. The project has been identified but work has not started. Use this for initiatives that are being considered or planned.
In Progress - The project is actively being worked on. Actions are being completed and the team is making progress towards the goal.
On Hold - The project is paused, usually because it is waiting on something external or a higher-priority initiative has taken precedence. Projects on hold for more than two weeks appear on the Projects at Risk dashboard widget.
Completed - The project has been successfully delivered. All key actions are done and the goal has been met.
Cancelled - The project is no longer being pursued. This is different from completed. It means the initiative was stopped before reaching its goal, usually because priorities changed or it was no longer needed.
When to Change Status
Move a project to In Progress when work begins, not when the project is created. Many projects start as ideas and stay there until the team is ready to commit.
Use On Hold rather than leaving a project in progress when no one is actively working on it. This keeps your active project list honest and makes the dashboard more useful.
Mark a project as Completed when the goal has been met, even if there are minor follow-up actions remaining. Those actions will continue to appear on your actions list independently.
Use Cancelled rather than deleting a project if you want to keep the history. Deleted projects and their associated data are permanently removed.
Calendar Events
When a project is created, a calendar event is added on the creation date. If a due date is set, a second event appears on that date. Status changes do not create calendar events, but they do appear on the project timeline.
