Working with Multiple Actions

Tips for managing a large backlog of actions efficiently.

As you use Manager Toolkit over time, your Actions list will grow. Catchups generate follow-ups, meetings produce tasks, and retrospectives surface improvements. Here are some tips for staying on top of a busy actions backlog.

Filtering Your Actions

The actions page offers several filters to help you focus:

  • Status - filter by open, in progress, or completed actions to see just the ones that need attention
  • Team - narrow down to actions for a specific team when you are preparing for a team meeting or review
  • Priority - focus on high-priority items first when time is limited
  • Source - filter by where actions originated (catchups, meetings, retros) to review follow-ups from a specific context

Combining filters lets you answer specific questions quickly, such as "What are the overdue high-priority actions for my engineering team?"

Completing Actions Efficiently

When you are working through your list, use these approaches:

  • Batch by context - complete all actions related to the same topic or meeting in one sitting
  • Start with overdue items - clearing overdue actions prevents them from accumulating and losing relevance
  • Be honest about stale actions - if an action has been open for weeks with no progress, decide whether it still matters. It is better to close it with a note than to let it clutter your list indefinitely

Keeping Your Backlog Manageable

Review your actions list at least once a week. A short weekly review - even just 10 minutes - prevents the list from becoming overwhelming. The Calendar page can help you build this into your routine.

Creating Clear Actions

The best way to manage actions efficiently is to create them well in the first place:

  • Use specific titles - "Update the onboarding document with new security steps" is better than "Fix onboarding"
  • Set realistic deadlines - a deadline creates urgency, but only if it is achievable
  • Assign a priority - this makes filtering and sorting much more useful later
Completed actions are not deleted. They remain in your history so you can review what was accomplished over any time period. Use the status filter to hide them from your active view.
