Getting into a regular rhythm with Manager Toolkit helps you stay on top of your responsibilities and build a valuable record over time. Here is a suggested weekly routine that ties together the key features.
Monday - Plan Your Week
Start the week by reviewing what is ahead and clearing anything overdue.
Check your dashboard. Open the dashboard to see your upcoming catchups, overdue actions, and any alerts. This gives you an immediate sense of what needs attention.
Review the week ahead. Check the calendar to see which catchups and meetings are scheduled. If you use Google Calendar sync, your external events will appear here too.
Address overdue catchups. If any team members are overdue for a one-to-one, schedule or log a catchup. Consistent cadence is one of the most valuable habits you can build as a manager.
Midweek - Capture and Act
Use the middle of the week to record activity and create follow-ups.
Log your catchups. After each one-to-one, record it in catchups with a sentiment rating, discussion notes, and any follow-up actions. This takes just a few minutes and builds a valuable history.
Create actions. Turn conversations into actions with clear owners, priorities, and deadlines. You can create actions directly from catchups, meetings, or retrospectives.
Check your targets. Review progress on any active targets and update their status. If a target is at risk, flag it early so you can adjust.
Friday - Reflect and Prepare
End the week by reviewing what was accomplished and setting up next week.
Review completed actions. Look at your actions list and mark anything that has been completed. Celebrate progress, even small wins.
Check sentiment trends. If you have been logging catchups regularly, review the sentiment trends in the Catchups Sentiment Over Time chart. Declining sentiment for a team member is worth investigating early.
Plan next week. Identify any catchups, meetings, or deadlines coming up. Create reminders for anything you do not want to forget.
You do not need to follow this routine rigidly. The key is consistency. Even logging one catchup and checking your dashboard each week is far more valuable than doing nothing. Build the habit gradually and add more as it becomes natural.
