Frequently Asked Questions about Retrospectives

Common questions about running retrospectives.

Last updated April 2026

Do participants need an account to join?

No. Participants join a retrospective via a shared link and do not need a Manager Toolkit account. They simply enter a display name and can start contributing immediately. See Sharing a Retrospective for details.

Can I see who wrote each note?

The Show authors retro option controls this. It is on by default, which means participant display names appear on the notes, comments, and reactions they create. If anonymity matters more for a particular session, switch Show authors off in the retro options before the session starts. The facilitator can always see all contributions in real time regardless.

How does voting work?

Each participant receives a set number of votes that they can distribute across notes. This helps the team prioritise the most important discussion points. See Retro Voting and Prioritisation for configuration options.

Can I run a retro asynchronously?

Yes. You can share the retro link and allow participants to add notes at their own pace before a scheduled discussion. The live collaboration features work in real time, so notes appear as they are added regardless of when participants join.

What happens to actions from a retrospective?

Actions created during a retrospective are saved to your actions list with a link back to the retro. See Retro Actions for more on extracting and tracking follow-ups.

Can I duplicate a retrospective?

Yes. From any retro you can duplicate the whole session. The new retro lands in the Build top-level status with the original columns copied across so the structure is ready to use. Participants and notes do not carry over - duplication only copies the column layout, giving you a clean board for the next session.

Can I reuse a template?

Manager Toolkit provides several built-in templates you can pick when creating a new retrospective. Custom column layouts are tied to the retro they were built for, so the easiest way to reuse a custom layout is to duplicate the original retro and start from there.
