Creating Reminders

Setting up date-based and team member-linked reminders.

Reminders ensure you never forget important dates and follow-ups related to your team. This guide covers the different types of reminders and how to set them up.

Creating a Date-Based Reminder

Navigate to the Reminders section from the sidebar and click New Reminder.
Fill in the title, date, and optionally any notes that will be helpful when the reminder triggers.

Date-based reminders appear on your dashboard and in your calendar as the date approaches. They are straightforward alerts that prompt you to take action on a specific day.

Linking Reminders to Team Members

You can optionally link a reminder to a specific team member. This is useful for people-related events such as:

Probation End Dates

Set a reminder a week before so you can prepare the review.

Work Anniversaries

Acknowledge milestones with a personal message.

Return From Leave

Remind yourself to check in with someone after an absence.

Development Reviews

Ensure formal reviews are scheduled on time.

When a reminder is linked to a team member, it appears on their profile alongside their other activity. This keeps all people-related information in one place.

Choosing the Right Date

Set your reminder date with enough lead time to act on it. For example:

  • For a probation review that happens on 1 June, set the reminder for 25 May so you have time to prepare
  • For a work anniversary, set it for the day itself or the day before
  • For a follow-up conversation, set it for the day you intend to have the conversation

If you set reminders on the exact day something is due, you may not have time to prepare. A few days of lead time makes reminders more useful.

Adding Context With Notes

The notes field is optional but valuable. When a reminder triggers days or weeks after you created it, you may not remember why you set it. Brief notes like "Sarah's 6-month probation review - prepare feedback and development plan" give you the context you need to act immediately.

Create reminders as soon as you learn about a date - do not rely on remembering to set the reminder later. Use specific titles: "Prepare Q2 performance review for Alex" is far more helpful than just "Reminder". Set reminders with enough lead time to act, not just on the day itself.
