Catchup Cadence

Catchup cadence lets you set a preferred frequency for one-to-one conversations with each team member, so you never accidentally go too long without checking in.

Setting a Cadence

Set the catchup cadence when you add a team member or by editing their profile. The cadence defines how often you intend to have a one-to-one conversation.
Choose the frequency that suits your working relationship. Common options include weekly, fortnightly, and monthly.
Different team members may need different cadences. A new starter might benefit from weekly catchups, while an experienced team member who is working independently might be fine with monthly check-ins.

Overdue Alerts

Once a cadence is set, Manager Toolkit tracks when the last catchup with each team member took place. If the gap since the last catchup exceeds the set frequency, the team member will appear as overdue on your dashboard.

The overdue indicator is a visual prompt, not a rigid rule. There will be times when a catchup is delayed due to leave, busy periods, or other commitments. The alert simply ensures you are aware of the gap.

Viewing Cadence Status

The dashboard displays your upcoming and overdue catchups in a dedicated widget. This gives you a quick view of which conversations are due soon and which are past their expected date.

You can also see cadence status on the team member's profile page, where it shows the date of the last catchup and when the next one is expected.

Adjusting Cadence Over Time

Cadence is not fixed. As your team evolves, you may need to increase or decrease the frequency for individual members. Common reasons to adjust include:

  • A team member taking on a new role or project (increase frequency temporarily)
  • Someone becoming more autonomous and confident (decrease frequency)
  • A period of organisational change or uncertainty (increase frequency)
  • Feedback from the team member that they would prefer more or fewer check-ins

Review your cadence settings periodically to make sure they still reflect the needs of each person.

Even a brief five-minute catchup counts. Consistency matters more than duration. Do not let overdue alerts pile up - if you consistently cannot meet the cadence, it may be set too ambitiously.
